Company Portal

The application is already installed on all University Windows machines configured for access using Microsoft365-UniGe credentials and allows you to install the available programs without requiring administrator credentials on the PC.

The Company Portal also enables the distribution of University software to personal computers, after registering the personal device within the Microsoft365-UniGe organization through the same Portal.

Registering personal devices in Microsoft365-UniGe using the Company Portal

To carry out the above operation, refer to the detailed instructions. This process registers your PC within the Microsoft365-UniGe organization as a personal device used for work and/or study purposes and therefore does not modify the computer’s configuration.

The Company Portal app can be downloaded from the Microsoft Store. To install it and complete the registration of the PC, you must be logged into the computer with an account that has local administrator privileges.

The application is also available for Apple macOS devices via https://go.microsoft.com/fwlink/?linkid=853070, for Apple iOS via the App Store, and for Android devices via Google Play, but for these device types the registration procedure is currently not available and only weblinks can be downloaded.

 

WARNINGS FOR PERSONAL WINDOWS PCS

If you have a PC running the Windows Home edition, you may only see weblinks in the Company Portal, while PCs running the Pro, Enterprise, or Education editions should have full access. On Windows Home it is also likely that disk encryption cannot be enabled, which is a necessary requirement for accessing University resources.

Through the MS Education platform, available to all Microsoft365-UniGe users, you can download a Product Key to upgrade your PC to the Education edition of currently supported Windows versions (how to change the product key in Windows). Please note that the license is available only for accounts that remain active, and that restoring the computer to the previous edition will require a full factory reset with a fresh local installation of Windows.

Instructions for use

1. Accessing the Portal

You can access the Company Portal:

  • Via browser at: https://portal.office.com
  • Through the application downloadable from the Microsoft Store
  • Enter your Microsoft365-UniGe credentials
  • Authenticate using two-factor authentication (MFA) when prompted
  • Select your organizational unit from the list, when displayed

2. The “Apps” section

The Apps section of the Company Portal contains the complete list of applications assigned to your UniGe account. From here you can:

  • View applications added by the ICT Area for your role or department
  • Install the above applications on your computer; administrator credentials will never be required for installing applications distributed through the Company Portal

If an application you need is not listed, contact ICT support or refer to your Department’s procedures.

3. The “Devices” section

The Devices section shows the list of computers, smartphones and tablets you have used to access UniGe services. From here you can:

  • Check which devices are registered or authorized for access.
  • View technical information such as operating system, model, category, and device ownership
  • Remove a device you no longer use via the Remove option (for personal devices only)
  • Verify whether a device is correctly synchronized with the security requirements set by UniGe (MFA, updates, device health).

For security reasons, it is recommended to remove devices you no longer use.

4. Synchronizing account and devices

The Company Portal allows you to synchronize permissions and devices to ensure your profile is up to date and can correctly access UniGe services.

You may manually trigger synchronization when:

  • you have changed your password;
  • you have replaced or formatted a device;
  • an application does not open or requests updated permissions;
  • you experience issues with MFA or device management.

To manually synchronize the connected device:

  • Log in to the Company Portal
  • Go to the Settings section
  • Click Sync

To manually synchronize another device connected to your Microsoft365-UniGe account:

  • Log in to the Company Portal
  • Go to the Devices section
  • Select the relevant device
  • Click Check access

Synchronization updates security settings and realigns the device with UniGe policies (MFA, protection, active sessions).
